1. Who we are

Power Pricing Limited ("Power Pricing", "we", "us", "our") provides a web-based software platform for accounting and bookkeeping firms. We are committed to protecting the privacy and security of all personal data we process.

We are the data controller for the personal data of our subscribers and their team members. Where our subscribers use the Platform to process their clients' personal data, we act as a data processor on their behalf (see Section 8).

This policy applies to the Platform at powerpricing.app and any associated services.

2. What personal data we collect and why

2.2 Data you input about your clients and prospects

The Platform allows you to record information about your prospects and clients, including contact details, company information, pricing and proposal data, onboarding questionnaire responses, and KYC and AML records including personal details, date of birth, nationality, NI number, UTR, PEP declarations, and ID verification records.

This data belongs to you, not to us. We process it on your behalf as your data processor. See Section 8 for more detail on our role.

2.3 Technical and usage data

When you use the Platform, we automatically collect IP address, browser type, pages accessed and features used, date and time of access, and error logs. This data is used to maintain, secure, and improve the Platform on the basis of our legitimate interests.

2.4 Communications data

If you contact us by email or through the support form, we retain a record of that correspondence to handle your enquiry and improve our support.

3. How we use your data

We use your personal data to:

  • Provide, maintain, and improve the Platform
  • Process your subscription and manage billing
  • Send service-related communications including account notifications, security alerts, and billing information
  • Respond to your support requests
  • Detect and prevent fraud and unauthorised access
  • Comply with our legal obligations
  • Send you product updates and marketing communications where you have consented or where we have a legitimate interest

4. Who we share data with

We do not sell your personal data to third parties. We may share your data with the following service providers who process data on our behalf under data processing agreements:

  • Supabase — database and authentication infrastructure
  • Netlify — platform hosting
  • Resend / EmailJS — transactional email delivery
  • Payment processors — subscription billing

If you connect the Platform to third-party services such as Xero, GoCardless, or Zapier, data may be shared with those services on your instruction. Those services are subject to their own privacy policies.

We may disclose data where required by law, court order, or regulatory authority.

6. Marketing communications

We may send you information about new features, product updates, and relevant news about Power Pricing. You can opt out of marketing communications at any time by clicking the unsubscribe link in any marketing email or contacting us at [email protected]. Opting out does not affect service communications such as billing notifications.

7. Cookies

The Platform uses essential cookies (required for authentication and session management) and analytics cookies (to understand how the Platform is used). Essential cookies cannot be disabled as they are necessary for the Platform to function. You can opt out of analytics cookies.

8. Our role as data processor for your clients' data

When you use the Platform to process personal data about your own clients and prospects, you are the data controller for that data and we are your data processor.

As data processor, we:

  • Process your clients' data only on your instructions and for the purpose of providing the Platform to you
  • Do not use your clients' data for our own purposes
  • Apply appropriate technical and organisational security measures to protect that data
  • Assist you in responding to data subject requests from your clients
  • Delete or return your clients' data at the end of the service relationship as set out in Section 5

Your responsibilities as data controller: You are responsible for ensuring that you have a lawful basis to collect and process your clients' personal data, that you have provided your clients with appropriate privacy information, and that your privacy notice covers the use of third-party software processors.

9. International data transfers

Power Pricing Limited is based in the United Kingdom and processes data under UK GDPR. Our infrastructure providers may store and process data in data centres located outside the United Kingdom. Where data is transferred outside the UK, we ensure that appropriate safeguards are in place, such as the International Data Transfer Agreement (IDTA) or equivalent mechanisms recognised under UK law.

If you are located in the European Economic Area (EEA), your data will be processed in the United Kingdom. The UK has been assessed as providing adequate data protection under EU law.

10. Data security

We implement appropriate technical and organisational measures to protect personal data, including:

  • Encrypted data storage and transmission (TLS/HTTPS)
  • Supabase Row Level Security ensuring each firm's data is isolated from other firms' data
  • Access controls limiting who within Power Pricing Limited can access subscriber data
  • Regular security reviews

11. Your rights

Under UK GDPR you have the following rights in relation to your personal data:

12. Children's data

The Platform is not directed at and should not be used by anyone under the age of 18. We do not knowingly collect personal data from children.

13. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by a prominent notice within the Platform. Your continued use of the Platform following notification of changes constitutes acceptance of the updated policy.
